ABOUT GTCYS

The Greater Twin Cities Youth Symphonies (GTCYS) broadens access to orchestral music and serves more than 15,000 children and adults annually through core educational programs, free outreach activities and workshops, concerts, and special performances. GTCYS has been providing a rigorous and inspiring orchestral experience for young musicians since 1972. Led by Artistic Director Mark Russell Smith, outstanding conductors, and coaches from the Saint Paul Chamber Orchestra (SPCO) and Minnesota Orchestra, GTCYS serves nearly 1,000 students ages 8-18 through eight academic-year orchestras and two summer programs. In 2016, GTCYS launched a new program, Harmony, which provides violin instruction to elementary students on the West Side of St. Paul. Dedicated to increasing access to music education with the help of generous donors, GTCYS awards more than $50,000 in needbased scholarships to students annually. GTCYS presents 25 annual concerts to 12,000 audience members with performances at Orchestra Hall, The Ordway, and Ted Mann Concert Hall, and free community concerts at homeless shelters, schools, and care centers across the Twin Cities. Through a unique partnership since 2011, GTCYS and The Saint Paul Chamber Orchestra work together to

POSITION SUMMARY

This full-time position oversees GTCYS’ music library operations, including the preparation, distribution, and collection of music for students in eight academic-year orchestras, two summer programs, and other activities. This position also coordinates artistic personnel, including sectional coaches and audition judges. The Orchestra Librarian works collaboratively and in close communication with GTCYS’ conductors and administration. Start date is late August 2017.

 

POSITION RESPONSIBILITIES

Music Preparation

  • Procure, prepare, distribute, track, and collect music for year-round student activities

  • Support conductors in repertoire research and selections drawn from beginning/educational to

  • professional-level orchestral music

  • Mark bowings and other musical notations per conductors’ specifications

  • Prepare scores for conductors, sectional coaches, and other artistic personnel

  • Develop and prepare audition excerpts, sight-reading examples, seating excerpts, and

  • miscellaneous materials

  • Prepare repertoire listings for concert programs

  • Deliver music and materials to rehearsals

  • Manage student fees for lost music

Music Library

  • Research and procure new music purchases and rentals

  • Maintain accurate and organized library files

  • Maintain library catalog and document repertoire performance history

  • Oversee music loans and rentals to other organizations

  • Manage licenses and copyrights

  • Maintain organizational archives

  • Manage budget and invoices for music library materials

Artistic Administration

  • Coordinate artistic personnel for sectionals, auditions, and performances

  • Manage coach correspondence, payments, and budgeting

Other

  • Provide support at events as needed

  • Oversee library volunteers and interns

  • Performs other library functions as requested

  • Understand and adhere to GTCYS Policies and Procedures

Required Qualifications

  • Bachelor’s degree required, with emphasis in music or music history preferred

  • Three years’ orchestral library experience

  • Knowledge of orchestral music, ability to read music, and music research skills

  • Superior organizational skills and attention to detail

  • Independently motivated and ability to prioritize tasks to meet deadlines

  • Excellent written and verbal communications skills

  • Ability to plan ahead and adapt to changing work priorities

  • Excellent computer skills including proficiency in Microsoft Office, music notation software (such

  • as Finale)

  • Openness to using technology to improve efficiency and innovation

  • Physical capacity to lift at least 40 lbs.

  • Reliable transportation to travel between GTCYS’ office and program venues

  • Availability to attend occasional evening and weekend activities

  • Familiarity with the Twin Cities’ music community preferred

 

WORKING CONDITIONS

This position requires the ability to both sit and stand for long periods of time preparing music in a quiet office shared with The Saint Paul Chamber Orchestra in downtown St. Paul. The work schedule will include some evenings and weekends.
