Job Description

The Edmonton Symphony Orchestra requires an experienced orchestral librarian. Reporting to the ESO’s Artistic Administrator, the successful candidate would be responsible for a variety of duties in providing and organizing all of the music required for Edmonton Symphony Orchestra performances in a timely manner within budgetary parameters, and for maintaining the orchestra’s library of parts and scores. 

Position Details
Specific duties will include:
•maintain the orchestra’s collection of scores and parts, repair and maintain music and folders, catalogue and file music purchased for the orchestra library, maintain accurate inventory, and ensure adequate security;
•arrange the purchase or rental of materials to meet program needs of the ESO, take delivery of and track incoming music, pack and ship outgoing music, and maintain shipping records, check all incoming and outgoing performance materials for condition and completeness, ensure prompt return of rented or borrowed materials and adherence to copyright laws, review and process all payments for music and supplies;
•all aspects of music preparation, including but not limited to editing, proofreading, distribution, and marking of string parts;
•work directly with ESO Music Director, all ESO guest conductors, and soloists as required to prepare music according to specific requirements;
•review all music to determine if orchestra parts meet acceptable standards, ensure that there are a sufficient number of parts, and correct problems that potentially could disrupt rehearsals, provide parts sufficiently in advance to the concertmaster and other designated string principals for bowing and pre-rehearsal practice,ensure that bowings, rehearsal letters/numbers, and measure numbers are compatible between the conductor’s score and the players’ parts, assemble and arrange music in orchestra folders;
•for assigned rehearsals and concerts, arrive up to one hour in advance to execute any changes in bowing, stage set-up, etc. This includes morning, afternoon and evening services, including weekends;
•attend or designate a lieutenant to attend every ESO service, ensure that all musicians have music and, if not, provide alternative, distribute and collect music at concerts and rehearsals;
•bring the conductor’s scores to the podium prior to the start of concerts and following intermissions;
•clear the stage of all music after each rehearsal as required and after each concert
•assist conductors and musicians with needs related to printed music;
•follow up at every rehearsal with the conductor and string principals for possible bowing changes, mistakes to be corrected in the parts, bad page turns, etc;
•track all items borrowed from the library (i.e., individual parts, scores, reference materials) and ensure their timely return;
•confirm instrumentation requirements, and share other information to staff on request, maintain accurate orchestra performance records, prepare annual library budget, including projected expenses for planned repertoire;
•prepare music for all auditions;
•document ESO performances with SOCAN and arrange for payment of appropriate licensing fees;
•other job-related duties as assigned

Qualifications
 Pre-requisite skills and requirements include:
•familiarity with orchestra music and parts, instrumentation, ranges, transpositions, and foreign language terms;
•capable of producing excellent handwritten music notation;
•a working knowledge of Canadian and international copyright law.
•ability to work independently, prioritize tasks, and exercise good judgment and take initiative, as well as work as part of a team;
•knowledge of computerized information systems and their applications, including OPAS software, Microsoft Outlook, Excel and Office;
•ability to adapt to a fast paced, rapidly changing environment;
•outstanding interpersonal skills including the ability to interact with all staff in a professional,
confidential, timely, and tactful manner;
• must perform the functions of the position in a safe manner.
